We appreciate that accommodation costs can be one of the biggest budget items with a week-long conference.
We encourage you to consider sharing a 2 or 3 bedroom villa at the venue – it is a cost-effective option, and will avoid the need to travel to/from the nearby town.
Two bedroom villas have king or king-split beds in each room, and each room has it’s own ensuite bathroom, so no need to share. The living space in a two bedroom apartment is large – with full size kitchen, lounge and dining area, in addition to a large balcony.
If you do not have a share buddy, but would like us to help find a room-mate for you to reduce costs, you can make a note of this when you register to attend the conference, or feel free to email us anytime to firstname.lastname@example.org, and we will do all we can to help.
If your accommodation will be paid for by somebody else’s credit card, please download the Third Party Authorisation Form, and send directly to the hotel. Please note that Cypress Lakes will process all payments 30 days prior to your arrival.
Two Bedroom Villa, AU$288 per night
Two Bedroom Villa featuring either a king size bed or two single beds in each bedroom, two ensuites, private balcony, full kitchen, spacious dining and living room, air-conditioning and broadband internet access (fee applies). The room caters for a maximum of 4 adults, and a maximum of 3 children but cannot exceed 4 guests in total.
Three Bedroom Villa, AU$373 per night
Three Bedroom Villa featuring either a king size bed or two single beds in each bedroom, two bathrooms, private balcony, full kitchen, spacious dining and living room with entertainment unit, air-con and broadband internet access (fee applies). The room caters for a maximum of 6 adults, and a maximum of 5 children but cannot exceed 6 guests in total.
Camping (Limited Availability)
This year we have the opportunity for a limited number of delegates to camp on-site at Cypress Lakes for the conference.
Cost (2 people): AU $60 per site for the week.
Extra people: AU $20 each.
BYO camping gear including: tent, kitchen/cooking equipment.
Shared toilet/shower facilities provided.
Bookings are limited and will be filled on a first-in first-served basis. Camping will be booked on registration.

The hotel will charge the credit card supplied when you registered to attend the conference will be charged 30 days prior to your arrival.
Up to 25 October 2017: changes and cancellations can be made at no additional cost.
From 26 October 2017: any cancelled nights, or a failure to arrive, will result in a 100% cancellation fee for each night cancelled being charged to the credit card supplied.
Special rates have been negotiated for conference delegates at the conference venue. These rates are only available to conference delegates and bookings must be made via the registration process (once open) to receive these rates.
All accommodation bookings must be accompanied by credit card details in order to secure your reservation. The credit card provided during the booking process is to secure the room and provide a guarantee for late cancellations. Your credit card details will be forwarded to the hotel to secure your reservation. Full payment for your accommodation (as well as any room incidentals) is to be made directly to the hotel at the time of your stay. Please note hotels may apply credit card surcharges upon check out if you choose to settle your account with your credit card. Credit card surcharge fees vary according to the hotel. The hotel will be responsible for issuing tax invoices for accommodation payments made upon departure. Once you have booked your accommodation, you will be able to download a hotel credit card authority form if you wish to pre-arrange payment of your accommodation.

Set on 20 hectares of land, Pokolbin Village offers modern rooms with private verandas and free Wi-Fi, as well as toasters, minifridges, and tea and coffeemaking equipment.
A shopping village is home to a relaxed restaurant, a cheese shop and a convenience store. There’s also an outdoor pool, BBQ facilities and a tennis court.
Room Rate: $139 per night Sun-Friday. $260 for Saturday night
Pokolbin Village is 2.2km from Cypress Lakes Conference Centre (the conference venue)

We will also have a daily shuttle travelling to/from Cessnock village to bring delegates to the venue. More details regarding timetable to be provided closer to the conference.
